- Your personal data – What is it?
Personal data relates to a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation (the “GDPR”).
- Who are we?
The Slough Job Creation Hub C.I.C (the Organisation) is the data controller. This means it decides how your personal data is processed and for what purposes. The Organisation is privately registered at Companies House as a Community Interest Company (C.I.C). Our company registration number is 12627486 and our registered address is 2 Crosthwaite Way, Slough, England, SL1 6EX.
- How do we process your personal data
The Organisation complies with its obligations under the “GDPR” by keeping personal data up to data; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure by ensuing that appropriate technical measures are in place to protect personal data. All personal data is kept in a password protected, central drive.
We collect the following personal information:
- Personal identifiers and characteristics including:
- Name
- Email address
- Phone number
- Physical address
- Business name and description
- Eligibility to work in the UK
- Information about previous volunteering experience
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- To fulfil your request to become a volunteer, supporter or mentor and help us assign tasks that suit your skillset
- To qualify you as a participant for one of our partner funded programmes
- To promote your business through our printed directory and sister website, www.cottagenet.org
- To inform you of news, events, activities and services relevant to the geographical area we operate in, and provide relevant content regarding employment creation and income generation
We also receive personal information indirectly, from the following sources in the following scenarios:
- We have a recommendations feature on the www.cottagenet.org website that encourages our community to recommend a local business who has provided them with a product or service. We obtain your explicit consent to use this information for any purpose.
What is the legal basis for processing your personal data?
- Explicit consent of the data subject so that we can keep you informed about news, activities, services and other matters relevant to our objectives. You are able to remove your consent at any time. You can do this by emailing us at contact@thesloughhub.org
- Processing is necessary for carrying out obligations under relevant legislation relating to employment law
- Where personal data is collected relating to participation in a specific programme, unless specific consent is given, that data will only be used in communications around the administration, running and follow-up for that programme under legitimate interest
- Where personal data is collected for the purpose of participating in the Cottage Net initiative, that data will only be used for matters relating to communicating about their inclusion in the printed Cottage Net Directory and on the www.cottagenet.org website
- Where personal data is collected under our volunteer sign-up processes, that data will only be used for matters relating to communicating about volunteering or administering
volunteering activities, under legitimate interest
- Where personal data is collected relating to any other short-term project, only data that is needed will be collected under legitimate interest, and the other considerations made clear elsewhere in this policy will apply
- Sharing your personal data
Your personal data will be treated as strictly confidential and will not be shared except where specifically required by contractual agreements or law. We will only share your data with third parties outside of the Organisation with your explicit consent. Any such cases where partnership working agreements require data sharing, specific consent will be obtained.
- How long do we keep your personal data?
We keep data in accordance with the GDPR, and the Directors have decided that in relation to programme participation data (i.e. consent data), we will keep this for the duration of the programme the data subject is enrolled in. This will be for a minimum period of three months. Volunteering data (i.e. volunteer, mentor and supporter records) will be kept for a minimum period of one year. After which, data will be reviewed to decide if it is appropriate to retain the information. Data will not be retained indefinitely without the relevant consent or another relevant legal bias of processing.
- Your rights and your personal data
Unless subject to an exemption under the GDPR, you have the following rights with respect to your personal data:
- The right to request a copy of your personal data which the Organisation holds about you;
- The right to request that the organisation corrects any personal data if it is found to be inaccurate or out of date;
- The right to request your personal data is erased where it is no longer necessary for the Organisation to retain such data;
- The right to withdraw your consent to the processing at any time;
- The right to request that the data controller provide the data subject with his/her personal data and where possible, to transit that data director to another data controller known as the right to data portability
- The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing
- The right to object to the processing of personal data
- The right to lodge a complaint with the Information Commissioners Office
Further processing
If we wish to use your personal data for a new purpose not covered by this data protection notice, then we will publish a new notice explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions. Where and whenever necessary, we will seek your prior consent to the new processing.
